With the semester coming to a close, elections for club office will be held soon. Anyone interested in running for a position described below must type at least a paragraph discussing why you would be the best candidate for the position. There will be a meeting with the current officers and members to elect the officers for next year. Whoever is present in that meeting will be allowed to vote. The candidates will give a short speech (5-10 minutes) as to why they should be elected.


You can run for only one position. The current Vice President becomes the President next year, unless he opts out of the position.
It is encouraged that members who have demonstrated leadership qualities and have a strong desire in fulfilling the goals of this organization to run for a position. 




If you have any questions or concerns regarding the election or positions, please contact us. The date of the election will be sent out after a list of candidates is received.




Here are the descriptions of each position:



1.       President

a.       Prepare necessary paperwork for events. Help Treasurer with budget fabrication.

b.      Organize and conduct meetings

c.       Present in majority of events

d.      Oversee all club activities

e.      Make the final decision on any decision that ends in a draw

f.        Be the official spokesperson representing the organization

g.       Appoint club coordinators if necessary

h.      Monitoring officer achievement, helping other officers if need be.

i.         Maintain smooth club operation and responsible for creating a functioning organization

j.        Responsible for the defense of all club members

k.       Stays in communication with the Pre-Health Adviser and other Health Professions Schools

l.         Makes sure that every officer is responsible for keeping the clubroom (TH 112) clean and professional

m.    Communicates with other clubs present in TH 112 to maintain a professional and clean environment for members of each respective club

n.      Understands the entire Constitution and makes sure other officers do as well

 

2.       Vice President

a.       Works with President to maintain order

b.      Helps President and Treasurer with paperwork

c.       Makes sure every officer is on the same page regarding meetings, events, etc.

d.      Also stays in communication with the Pre-Health Adviser and other Health Professions Schools

e.      Will arrange for guest parking with Student Activities for events if necessary

f.        Helps to maintain a clean and professional club room (TH 112)

g.       Understands the entire Constitution

h.      Becomes President if chooses the following year

 

3.       Treasurer

a.       Prepare budget early for approval.

b.      Must attend meeting regarding club’s financial state (e.g. CA meeting, USG meeting, general club meeting, etc.)

c.       Track all expenditures; Makes copies of all receipts and keeps any record of expense (or income) in an organized manner

d.      In charge of getting advanced checks and/or setting up reimbursements; handles all financial paperwork

e.      Responsible for fundraising

f.        Work with other clubs to fund any mutual clubs event or expenditure

g.       In communication with other club officers. If an officer other than the President needs a signature, the Treasurer is the only other officer that can officially sign paperwork, thus communication is vital.

h.      Helps to maintain a clean and professional clubroom (TH 112)

i.         Understands the entire Constitution

 

4.       Secretary

a.       Takes minutes (notes) at meetings, and distributes them to other officers, by email. All minutes must be typed.

b.      Prepares sign-in sheet for attendees of club events

c.       Manage email listserv: checking email daily, adding new members, and removing any members who are no longer part of the club

d.      Manage members on Symplicity website

e.       Send members emails and Facebook notifications of future events at least three days prior to event

f.       Make a calendar of events a week prior to following month

g.       Maintaining officer contact info and weekly schedule

h.      Work together with Publicity Manager to make sure events are publicized well

i.        Help to maintain a clean and professional clubroom (TH 112)

j.        Understands the entire Constitution

 

5.       Publicity Manager

a.       Designs flyers/posters for events

b.      Tabling events to recruit members and advertise the organization

c.       Taking pictures/videos and uploading on Facebook and Symplicity page

d.      Work together with Secretary to make sure events are publicized well

e.      Help to maintain a clean and professional clubroom (TH 112)

f.        Understands the entire Constitution

 

6.       Club Room Maintenance Director

a.       Makes sure the club room is clean and is maintained professional

b.      Oversees that club officers are doing their part in maintaining the club room clean

c.       Works with other club leaders from the room to maintain a clean environment for all members of each respective club

d.      Contacts Student Activities to get a work order for the clubroom

e.      Stays in communication with Facilities

f.        Oversees that rooms reserved for events are clean and ready for use prior to event

g.       Understands the entire Constitution

 

7.       Technical Director

a.       Manages the organization’s Facebook page and make sure it is professional and updated

b.      Makes sure the computer and internet are functioning in the club room

c.       Makes sure the files on the computer pertaining to the organization are preserved and updated

d.      Communicates with Audio Visual Department

e.      Set up and Test electronic systems before an event

f.        Help to maintain a clean and professional clubroom (TH 112)

g.       Understands the entire Constitution
