Position title: Exhibition and Budget Assistant, The Museum of Modern Art (MoMA), New York, NY


The Exhibition and Budget Assistant provides administrative, planning, and finance support to Exhibition Planning and Administration, the department responsible for planning, coordinating, and budgeting MoMA exhibitions. Further responsibilities are as follows:


-Preparing and monitoring the annual exhibition program budgets with Associate Director

-Managing financial activity related to the department and annual exhibition program, including quarterly re-forecasts, credit card administration, accounts payable/receivable, and developing financial policies and procedures

-Providing exhibition information and budget details to several departments across the Museum

-Assisting and guiding the planning process simultaneously for a number of exhibitions and tours at various stages of development by preparing budgets, timelines, lender correspondence, loan agreements, other contracts and agreements, tour offers, and various government applications, among other tasks

-Maintaining office records, coordinates ongoing archive of exhibition and financial materials, and performs other administrative tasks as needed

-Serving as the departmental liaison with Finance and Accounting


Experience Requirements:


2 to 5 years of progressively responsible experience in finance or project management, preferably in investment banking, strategic consulting, or an arts, culture, and/or nonprofit environment

Skill Requirements:


-Facility and comfort with numbers and complex financial/budgetary spreadsheets essential

-Exceptional organizational skills and attention to detail

-Ability to efficiently manage several exhibitions and projects simultaneously

-Outstanding interpersonal, written, and verbal communication skills

-Proven diplomatic problem-solving capabilities

-Ability to form and maintain successful working relationships with museum staff, artists, lenders, tour venues, and other external contacts

-Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), including understanding of advance Excel functionality, and experience with PeopleSoft
