Assistant reports directly to the President and will be based in our New York
City office located in the Flatiron District.

Position Overview
The Consulting project Coordinator/Administrative Assistant provides excellent
project coordination, administrative and research support to the President of
Karp Resources and a team of consultants. The successful candidate is an
excellent problem solver, an engaged self-starter, experienced in managing a
wide range of projects simultaneously and able to anticipate the needs of the
President and the consultant team. This multi-faceted position requires an
interest in food systems, food policy, agriculture, and/or the food industry,
our research based approach and expertise in events planning and community
engagement. The successful candidate has the nimble and astute qualities of an
air-traffic controller, combined with the graciousness of your favorite maître
d’.

Responsibilities
•       Provide excellent project coordination, administrative, research, and
event planning services to the President and to full-time and part-time
consultants.
•       Provide a welcoming, hospitable and engaged atmosphere in interactions
with clients and staff, with excellent in-person and phone and written
etiquette.
•       Manage President’s calendar; schedule and coordinate internal and
external project meetings, calls, travel arrangements, and additional personal
needs. Anticipate scheduling conflicts for the office and President and always
come with recommended solutions.
•       Flawlessly provide project support, including research, drafting,
editing, and distributing a variety of written materials; prepare final
versions of reports and presentations.
•       Maintain web-based marketing database, Outlook contacts and list-
serves, websites and social media, and coordinate marketing communications.
•       Act as an initial point of contact for technical support issues and as
a liaison with external IT support.
•       Effectively problem-solve any urgent needs related to projects,
proposals, and meeting preparation.
•       Coordinate with the Finance Manager on receipt tracking, budget
details, etc. to ensure travel and other operating costs/expenses are invoiced
and reimbursed.
•       Oversee all office operations include general cleanliness,
organization, purchasing supplies, and coordinate cleaning and maintenance
services.

Requirements
•       Bachelor’s degree
•       Min. 2 years of professional work experience in related position.
•       Outstanding engaging interpersonal, communication, and writing skills.
•       Meticulous attention to detail and accuracy.
•       Strong sense of urgency, highly organized, outstanding time and
project management skills, ability to effectively prioritize and accomplish
multiple and changing priorities in a timely manner and with excellent
judgment.
•       Initiative/resourcefulness - taking things to the logical next step,
planning accordingly, figuring out creative/strategic solutions, being
proactive and learning quickly.
•       Ability to work independently.
•       Excellence in Mac OS, Microsoft Office, Adobe Acrobat Pro and Adobe
InDesign.
•       Proficiency in Wordpress, MailChimp, Survey Monkey, Dropbox and other
online programs.
•       Ability to work effectively in a fast-paced, results-oriented
environment.
•       Pleasant sense of humor.
•       An interest in the food industry - food systems, culinary arts, food
production, hospitality management, agriculture, food education, foodservice –
and our research based projects.
